Can I automate WhatsApp messages?

Updated · By the salestrack team

Short answer

Yes, through the official WhatsApp Business API. WhatsApp's Business Messaging Policy allows automation when replying inside the 24-hour customer service window, as long as people can easily reach a human. Outside that window, automated reminders and follow-ups must be approved templates sent to opted-in people. Automating the normal WhatsApp app with unofficial tools breaks WhatsApp's rules.

You can automate a lot on WhatsApp, as long as you do it on the official WhatsApp Business API and within WhatsApp's rules. The WhatsApp Business Messaging Policy says businesses may use automation when responding during the 24-hour window, and must give people a prompt, clear way to reach a human. Messages you start, at any time, must be approved templates sent to people who opted in.

What you can automate

AutomationTriggerMessage type
Instant first reply to a new leadLead messages you or fills a formFree-form reply if they messaged you; template if they came from a form
After-hours replyMessage outside office hoursFree-form reply with the next step
Lead assignmentNew lead arrivesInternal: owner set by rules, no message sent
Follow-up sequenceNo reply after X daysTemplate, stops when they reply
Appointment reminderA day before the bookingUtility template
Re-engagement campaignLead inactive for weeksMarketing template to an opted-in segment

The rules every automation must respect

  • Use the official API. WhatsApp's Help Center tells users not to bulk message, auto-message or auto-dial from the app, and bans accounts it detects. Browser extensions that click through WhatsApp Web for you fall in this category.
  • Templates outside the window. Template messages are the only type that can reach a person outside a customer service window, and they must be approved first.
  • Opt-in and opt-out. Message only people who agreed to hear from you, and stop when they ask.
  • A path to a human. Offer transfer to a person in the chat, or a phone number, email or form.
  • A stop rule. Every sequence should end on a reply, a booking, a stage change or an opt-out. A follow-up that keeps going after someone booked is worse than none.

What automated messages cost

Meta charges per delivered message, by category and the recipient's country. Automated template messages are charged like any other template. Free-form replies count against the 1,000 free service messages each number gets per month; after that they are charged, from 1 October 2026. Everything inside a free entry point window, opened when you reply within 24 hours to a Click-to-WhatsApp ad chat, is free for up to 7 days. Rates are on Meta's pricing page.

Where to start

Begin with three automations: an instant first reply, assignment with a reassign timer, and a short follow-up sequence. These fix the most common causes of lost leads: slow replies, leads nobody owns and forgotten follow-ups. Our guide to sales automation workflows has ten worked examples.

How salestrack helps

salestrack runs on the official WhatsApp Business API. Follow-up sequences message leads by stage and source and stop on reply or opt-out, after-hours automation covers the night, and assignment rules give every lead an owner and reassign it if nobody replies in time. You can start from ready-made chatbots and ready-to-use workflows for common use cases, build custom workflows and drip campaigns, and run them on any connected number, including several numbers on coexistence (see chatbots and workflows). On the Growth plan, the AI sales agent can answer new leads in seconds and hand hot ones to a person.

Related questions

Is WhatsApp automation free?

Automation itself is a software feature, and pricing depends on the tool. Meta charges per delivered template message, and from 1 October 2026 also charges for service replies beyond 1,000 per number a month. Messages inside a free entry point window from a Click-to-WhatsApp ad are free.

Can I schedule WhatsApp messages?

Yes, on the API through a tool that supports scheduling. Scheduled messages to people outside an open 24-hour window must use approved templates.

Will automating WhatsApp get my number banned?

Using unofficial tools to automate the normal WhatsApp app can. WhatsApp's Help Center says not to bulk message, auto-message or auto-dial, and it bans accounts it detects doing so. Automation through the official API, to opted-in people, is allowed.

Do I have to offer a human in automated chats?

Yes. The Business Messaging Policy asks for prompt, clear and direct ways to escalate, such as transfer to a human agent in the chat, a phone number, email or a support form.

What should I not automate?

Negotiation, pricing exceptions, complaints, sensitive medical or financial questions and the final close. Automation should get the lead to a person faster, not replace the person.
