How do I send Facebook lead ads leads to WhatsApp automatically?

Updated · By the salestrack team

Short answer

Connect your Facebook lead forms to a CRM or WhatsApp tool through a CRM integration, Meta's webhooks or a connector, so each new lead arrives in seconds. Then send an approved WhatsApp template message automatically, because a form lead has not messaged you and no 24-hour window is open. Get consent on the form first.

To send Facebook lead ads leads to WhatsApp automatically, you need two things: a way to get each form entry out of Meta the moment it is submitted, and a WhatsApp tool that sends an approved template message as soon as the lead arrives. Downloading a CSV once a day is not automatic, and by then most leads have gone cold.

Step 1: get leads out of Meta in real time

Meta's lead ads documentation lists the ways to move leads into another system:

  • A CRM that integrates with lead ads. Meta lists CRM partners that receive leads as they come in.
  • Webhooks and the API. Meta sends an update to your endpoint each time a lead is submitted, and you fetch the lead's answers with its lead ID. Meta notes these updates can arrive a few minutes after the form is sent.
  • A connector tool. Tools such as Zapier or Make pass each new lead to a Google Sheet, a CRM or a WhatsApp tool.

Whichever route you use, keep the lead ID, form ID and ad ID with the lead. You need them to route the lead and to measure which ad produced customers.

Step 2: send an approved template, not a normal message

This is the rule most people miss. On the WhatsApp Business Platform, you can send free-form messages only inside a 24-hour customer service window, which opens when the customer messages or calls you. A person who filled a form has not messaged you, so your first WhatsApp message must be an approved template.

  • Create the template in advance and get it approved, with variables for the name and what they asked about.
  • Check the category. Meta's guidelines say utility templates must be non-promotional and tied to the user's action or request. Anything persuasive is marketing, and Meta can re-categorise templates.
  • End with one easy question, such as "Is this for you or a family member?". A reply opens the 24-hour window, and your team can then chat freely.

Step 3: get consent and assign an owner

The WhatsApp Business Messaging Policy says you may only contact people who have given you their number and opted in to receive your messages. Add a line to your form such as "We will contact you on WhatsApp about your enquiry". Then make sure a named person owns each lead and calls or chats soon after the template goes out. An automatic message keeps the lead warm, but people buy from people.

An alternative: let the lead message you

If WhatsApp is where you want the conversation, consider Click-to-WhatsApp ads. The person sends the first message, so you can reply with free-form text, and a quick reply can open Meta's free entry point window.

How salestrack helps

salestrack brings leads from Meta ads, Click-to-WhatsApp ads, Google Sheets and website forms into one list (see integrations). With the Meta Lead Ads connection, form leads arrive in seconds with their campaign, ad set and ad; the help guide shows how to connect your Page and forms. Once a lead is in, assignment rules give it an owner and automated follow-ups send approved templates that stop when the lead replies.

Related questions

Can I send a normal WhatsApp message to a Facebook lead form lead?

Not as the first message through the WhatsApp Business API. A lead who filled a form has not messaged you, so no customer service window is open, and only approved template messages can be sent. Once they reply, you can send free-form messages for 24 hours.

Is the first message to a lead form lead marketing or utility?

Meta decides the category from the content. Utility templates must be non-promotional and tied to something the person did or asked for; anything persuasive or mixed is marketing. Most sales follow-ups are marketing templates.

Do I need Zapier to send lead ads to WhatsApp?

No. Zapier is one option. You can also use a CRM that connects to Meta lead ads, build your own integration with Meta's lead ads webhooks, or send leads to a Google Sheet that your CRM reads.

Do I need permission to message leads on WhatsApp?

Yes. The WhatsApp Business Messaging Policy says you may only contact people who gave you their number and opted in to hear from you, so add a clear WhatsApp consent line to your form.
