Round robin lead assignment gives each new lead to the next available person in a fixed order, then starts again at the top, so everyone gets an equal share. People who are away are skipped. It works best when the team sells the same thing equally well; for uneven workloads, capacity-based assignment is usually better.
Round robin is the simplest fair way to share leads across a sales team. The team is put in an order. The first new lead goes to person one, the next to person two, and so on. After the last person, it starts again from the top. Over a day or a week, everyone gets roughly the same number of leads, and nobody has to forward them by hand.
A simple example
A clinic's front desk has three coordinators: Divya, Rahul and Sara. Sara is on leave today.
| Lead | Goes to | Why |
|---|---|---|
| Lead 1 | Divya | First in the order |
| Lead 2 | Rahul | Next in turn |
| Lead 3 | Divya | Sara is away, so she is skipped |
| Lead 4 (repeat enquiry from Lead 1's person) | Divya | Returning leads go to their previous owner |
When round robin works, and when it does not
- Works well when everyone sells the same product with similar skill, lead quality is similar, and everyone works similar hours.
- Struggles when one person already has 40 open leads and another has 5, when part-timers get the same share as full-timers, or when some leads need a specialist.
In those cases, use capacity-based assignment, which sends more leads to people with fewer open leads, or put specialist rules first so that, say, implant enquiries reach the implant coordinator before the round robin picks anyone.
How to set it up well
- Order your rules. Returning leads first, then specialist keywords, then campaign or branch rules, then round robin as the catch-all. The first rule that matches decides.
- Skip people who are away. Let staff mark themselves unavailable, or respect working hours, so leads do not wait with someone who is off shift.
- Add a reassign timer. An assignment without a deadline is a suggestion. Move untouched leads on after a set time.
- Review fairness monthly. Compare leads received, contact rate and conversion per person.
Speed is the point. The 2011 Harvard Business Review study of 1.25 million leads found that firms contacting a lead within an hour were nearly seven times as likely to qualify it as firms that waited an hour longer. Automatic assignment removes the wait for someone to forward the lead.
How salestrack helps
salestrack's lead assignment checks keyword matches, then pipeline owners, then a default method, and stops at the first match. Each step can share leads by round robin or capacity, and you can see who is next and how many leads each person got today. Switches keep leads in their branch, send returning leads to their previous owner, skip members who are away and reassign leads not contacted in time. The setup guide walks through it.
Related questions
What is the difference between round robin and capacity-based assignment?
Round robin shares leads equally in turn, whatever each person's current workload. Capacity-based assignment sends more leads to people with fewer open leads, which suits mixed full-time and part-time teams.
What happens if the next person in the round robin is on leave?
A good system skips people who are marked unavailable or outside their working hours, and gives the lead to the next available person.
Should returning leads go through round robin?
Usually not. When someone enquires again, sending them back to the person who handled them before keeps the relationship and the history in one place.
What if the assigned salesperson does not reply?
Add a reassign timer. If the owner has not contacted the lead within a set time, for example 10 to 15 minutes for paid ad leads in office hours, the lead moves to the next person and the manager is told.
