Roles and access: who can see what

Each role has three parts: which leads they see, what they can do in each area, and a few sensitive actions. Set them under Settings › Roles & access.

For: Owner, Admin · Updated

Roles decide what each person in salestrack can see and do. A tele-caller may only need their own leads, while a branch manager needs everything in their branch. Set this up under Settings › Roles & access.

The three parts of a role

1. Which leads they see

Choose one: All leads (every branch), Their branches, or Only their own. The Inbox, follow-ups and reports follow the same choice.

2. What they can do

For each area, pick a level: No access, View, Edit or Full (some areas only offer No access, View and Full). The areas are Leads & pipelines, Inbox & WhatsApp chats, Broadcasts & templates, Contacts & lists, Reports, Integrations, Team & settings, and Billing & wallet. Menu items a role has no access to are hidden for them.

3. Sensitive actions

These are off by default: Change lead owner, Delete leads and contacts, Export and download data, See revenue and ad spend, and See full phone numbers. Without the last one, phone numbers appear masked. Some switches need a minimum Leads level, and the screen tells you why a switch is disabled.

Default roles

salestrack starts you with these roles. You can change them or make your own.

Edit a role or create a new one

  1. Open Roles & access. Go to Settings, and under Team click Roles & access.
  2. Pick a role, or make a new one. Click a role in the list, or click New role. For a new role, enter a Role name, choose a role to Copy access from, and add a description.
  3. Set which leads they see. Choose All leads, Their branches or Only their own.
  4. Set a level per area. Choose No access, View, Edit or Full for each area. The ? next to an area explains each level.
  5. Turn on sensitive actions if needed. Only switch on what this role really needs.
  6. Save. Click Save changes. The change applies straight away to everyone with that role.
